This policy explains how Transcom collects and uses information when you use Centralmail, our free email service.

1Who we are

Centralmail is operated by Transcom (Concorde House, Margaret Street, Brighton BN2 1TS, United Kingdom; UK company registration 2828342), which is the data controller for your Centralmail account. You can contact us at info@transcom.co.uk.

2What we collect

  • Account details — the address you choose, your password (stored only as a secure one-way hash), and a recovery email address.
  • Sign-up data — your IP address and a risk score from our Veritus system, used to prevent abusive or fraudulent registrations.
  • Mail content — the emails you send, receive, and store, so we can deliver them and show them to you.
  • Technical logs — connection and delivery logs (IP addresses, timestamps, and message metadata) kept for security, troubleshooting, and anti-abuse.

3How we use it

We use this information to provide and maintain the service; to filter spam and malware, in and out, using MxGuard; to prevent fraud and abuse using Veritus; to keep the service secure; and to comply with our legal obligations.

4Mail filtering

Every message is scanned automatically by MxGuard (our own system) for spam and malware, in both directions. This is fully automated — we do not read your mail to profile you or to serve advertising, and we never sell your mail or your data.

5Legal basis (UK GDPR)

We process your data to perform the service you request, for our legitimate interests in keeping the service secure and free of abuse, and to meet legal obligations.

6Sharing

We do not sell your data. Processing is carried out on our own systems (MxGuard, Veritus, and TDesk). We may disclose information where required by law, court order, or to protect our rights, our users, or our systems. Naturally, email you send is transmitted to its recipients and their providers.

7Retention

We keep your mailbox and data while your account is active. If you close your account — or if it is terminated for spam or abuse — your mailbox and data may be permanently deleted. Logs are retained for a limited period for security purposes.

8Security

Passwords are stored as secure hashes and connections use TLS encryption. No system can be guaranteed perfectly secure, and we cannot guarantee absolute security.

9Cookies

The webmail and settings pages use essential cookies to keep you signed in. We do not use advertising or third-party tracking cookies.

10Your rights

Under UK GDPR you may request access to, correction of, or deletion of your personal data, and object to certain processing. Contact info@transcom.co.uk. You also have the right to complain to the Information Commissioner's Office (ico.org.uk).

11Children

Centralmail is not intended for children under 16, and we do not knowingly collect their data.

12Changes

We may update this policy from time to time. The current version is always published on this page.
